Freight Documentation That Stops Delays

What our office checks before dispatch.

Most preventable delays are administrative. Before a vehicle leaves Truganina we review documentation because missing references cause refused handovers weekly.

Consignment data

Legal names, addresses, phones, commodity, pallet count, weight and cube.

PO numbers and store codes should appear on paperwork drivers carry.

Sites increasingly refuse freight without a valid reference even when the physical goods are correct — that refusal is preventable with disciplined paperwork.

Delivery instructions

Specify dock doors, booking phones, tail-lift needs, forklift availability, and whether the site refuses freight without a valid purchase order reference.

State if safety induction is required so we schedule time correctly — drivers turned away at the gate waste the entire run.

Weekend-only or lunch-hour closures should be listed explicitly, not assumed.

Regulated goods

We need SDS, UN numbers and quantities as required.

We decline incomplete dangerous-goods bookings.

Returns

Return labels and reason codes should travel with goods.

Returns scan into a distinct workflow.

Digital copies

Email to info@hpsfreight.com.au beats verbal-only instructions.

Attachments help new staff at your business.
